Digital preservation policy
Digital preservation policy
The Revista Gregoriana de Ciencias de Salud is committed to ensuring the long-term preservation of its digital content, permanent access, and the integrity of published articles. As part of the digital preservation policy, the journal has implemented the following strategies based on free and open-access tools and practices:
Storage in multiple locations
- Local backup: A complete backup of all journal files (articles, metadata, etc.) is maintained on a secure local server and external storage devices (hard drives, USB sticks).
- Cloud backup: Free cloud storage services (such as Google Drive) are used to store periodic backups of published content.
Use of the Open Journal Systems platform
- The journal uses OJS as its editorial management system, which allows the periodic export of metadata and content in standard formats (XML, PDF, HTML).
- Full exports of the database and associated files are performed periodically (semi-annually) to ensure recovery during technical failures.
Archiving in open-access repositories
- The journal archives published articles in open-access thematic repositories such as Zenodo.
- The journal also encourages self-archiving by authors in open-access university or thematic repositories.
Standard archiving formats
- All articles are published in widely used and easily preserved formats, such as PDF/A (for text) and XML (for metadata).
- The use of proprietary or closed formats that may hinder future retrieval is avoided.
Community preservation
- The journal adheres to collaborative digital preservation initiatives, such as the PKP Preservation Network, a free service offered by the Public Knowledge Project (PKP) for journals that use OJS.
- Collaboration with other journals and academic institutions is encouraged to share resources and good practices in digital preservation.
Monitoring and technological updating
- The editorial team is committed to periodically monitoring digital preservation technologies and standards and updating the processes and tools used according to best practices.
- Annual reviews of the preservation policy will be carried out to ensure its effectiveness and updating.
Permanent access to content
- The journal guarantees that all published articles will remain accessible through its website on OJS, even in the event of cessation of activities.
- In the event of discontinuation of the journal, an attempt will be made to transfer the contents to an institution or repository that guarantees their preservation and permanent access.
Awareness and training
- The editorial team will receive periodic training on basic digital preservation practices, including backup management and free tools.
- The importance of digital preservation and open access will be promoted among authors and readers.
The Revista Gregoriana de Ciencias de Salud recognizes that digital preservation constantly evolves. The journal is committed to implementing best practices to ensure its content remains accessible for future generations.
